A. Privacy Policy

The protection of your personal data is important to us.

We, the German Convention Bureau, are pleased that you are interested in our company and our services. We also want you to feel confident that your personal data will be protected whenever you visit pages on our website. The protection of your data is a major priority for us, and it therefore goes without saying that we should act in compliance with the German Federal Data Protection Act (BDSG) at all times.

We want you to be aware of the kind of data we collect, when we do so and how we use data. We have taken technical and organisational precautions to ensure that data protection regulations are met, both by ourselves and also by any external contractors instructed by us.

Collection, storage and processing of personal data

Personal data is information about your identity. It includes, for instance, your name, postal address, phone number and email address. To use our website, there is no need for you to disclose any of your personal data. In certain cases, however, we do need your name and address and also further data, so that we can provide the services you request from us.

The same applies, for example, to the sending of information material and any answers to specific questions that you may wish to ask. Whenever this is required, we point this out to you. Over and above this, we only store and process data which you provide voluntarily and any data that is collected automatically whenever you visit the pages on our website (e.g. this includes your IP address, the names of the pages you call up, the browser you use, your operating system, the time and date of accessing those pages, the search engines you use and the names of any files you download).

When you complete a form, we see this as your consent to use your data as described above.

Should you make use of our services, we will only collect the data we require in order to provide those services. If we ask you to provide further data, then this is always voluntary information. Personal data is processed entirely for the purpose of performing the requested service and to safeguard any legitimate business interests we may have. 

Purpose of personal data

Any personal data you provide will be used by us to answer your queries or enquiries, to deal with your orders or to provide you with access to specific information or offers. To maintain our relationship with you as a customer, either we or a contractor instructed by us may use your personal data to keep you updated about products on offer or to conduct online surveys with a view to improving our services and the way we meet our customers’ needs.

Should you choose not to provide us with your personal data in support of our relationship with you, then we will of course respect your decision (particularly where your data is used for direct marketing or market research purposes). We will not sell your personal data to third parties or market them in any other way.

Use of data restricted to specific purposes

Any personal data you provide online will only be collected, processed and used for the purpose we have communicated to you. Your data will not be disclosed to third parties without your express consent.

Personal data will only be collected and disclosed to suitably authorised state institutions and authorities in application of the relevant laws or in cases where we are required to disclose data under a court order. Our employees and any contractors instructed by us have been placed by us under a duty to maintain confidentiality and to observe the provisions of the German Federal Data Protection Act (BDSG).

Deletion of your data

You are entitled to require us to delete your personal data at any time. We undertake to remove all your personal data from our database with immediate effect, as soon as you have instructed us to do so by phone, fax, surface mail or email. You also have the option of deleting your name directly from the distribution list of our Press Service.

Data automatically collected upon visiting our website.

For organisational and technical reasons the following data is saved upon use of our website: the names of the pages you call up, the browser and operating system you use, the date and time of your access, the search engines you use, names of files you have downloaded and your IP address.

The analysis of such technical data remains anonymous and is used exclusively for statistical purposes, as we seek to keep improving the pages of our website and to make our web offers more attractive for you. Such data is stored separately from other personal data, using secure systems. Data does not permit conclusions regarding individuals.

Social networks

GCB uses Shariff: social media buttons, classified as privacy-enhancing under German regulations. 

Whenever you visit our website, information may be saved to your computer in the form of a cookie. Cookies are small text files sent by a web server to your browser and saved to the hard drive on your computer. Most of the cookies we use are session cookies and are therefore deleted as soon as your session has finished. Cookies do not harm your computer, nor do they contain viruses. We also use “persistent cookies” to save any settings you make (e.g. the language of our website) to your computer.

Such cookies contain no more than your IP address and no personal user data. The purpose of such information is to recognise you automatically next time you visit a page on our website, so that navigation will be easier for you. Cookies enable us, for instance, to modify a website to suit your interests or to save your password, so that you do not need to re-enter it each time.

However, you can also use our website without cookies. Children and young people

We have taken technical and organisational security precautions to protect your personal data against loss, destruction, manipulation and unauthorised access. All our employees and all individuals involved in information processing are under an obligation to observe the German Federal Data Protection Act (BDSG) and other privacy-related laws and have undertaken to ensure the confidential use of personal data. 

Use of Google Analytics

(1) This website uses Google Analytics, a web analysis service of Google Inc. (hereinafter referred to as “Google”). Google Analytics uses so-called cookies – text files that are saved to your computer and which allow us to analyse your use of our website. The information that is created by cookies on your use of our website is usually sent to a Google server in the United States, where it is saved. However, if you have activated IP anonymisation for this website, your IP address will not be sent without first being truncated by Google within the Member States of the European Union or other parties to the Agreement on the European Economic Area. Only in exceptional cases will the full IP address be sent to a Google server in the United States and then truncated there. Acting upon our instruction as the website operator, Google will use this information to analyse your use of the website, to set up reports on website activities and to provide us with other services connected with website use and internet use.

(2) The IP address which Google Analytics sends via your browser will not be linked by Google with any other data it may have. In cases where personal data is collected and processed, they are sent in encrypted form to prevent misuse by third parties. Our security precautions are continually enhanced as new technologies develop.

Changes to our Privacy Policy

We reserve the right to change our security and data privacy precautions where this is required on account of technical developments. In such cases we will modify the data of our privacy statement accordingly. We must therefore advise you to refer to the latest version of our Privacy Policy from case to case.

Should you use external links provided on the pages of our website, please remember that they are not covered by this Privacy Policy. Whenever we provide a link, we give our assurance that no violations of applicable law were recognisable on the linked website at the time of setting the link. However, we have no influence on the compliance of other site owners with data protection and security regulations. We check linked websites for possible legal violations at the time of linkage and we only provide a link to a site if there is no recognisable legal violation. If we become aware of any legal violations on linked websites, we remove those links immediately.

The content of this website has been carefully edited and reviewed. However, GCB accepts no liability for the up-to-date character, the correctness, completeness or quality of the data provided there.
